Running a small business is challenging. It often means doing multiple jobs at once, limited resources, and difficulties balancing growth and quality. But there’s a different way—getting a chatbot, a powerful tool that will help you free up resources by automating communication with customers without compromising their experience.

Chatbot can become your best worker, handling multiple tasks and providing customer service 24/7 while saving you costs on hiring extra staff. Read on to learn how your small business will benefit from a chatbot, what jobs it can do, and how to pick the best chatbot for a small business and use it to its full potential.

## 5 reasons for small businesses to use chatbots

### 1\. 24/7 availability

Chatbots provide round-the-clock, accurate customer service. No more lost opportunities due to different time zones or limited work hours.

### 2\. Automated lead generation and qualification

Your chatbot can gather prospects’ information and filter high-quality ones. With repetitive tasks automated, you and your sales team can focus on promising leads.

### 3\. Improved customer satisfaction

Your customers expect prompt communication, and that’s where business chatbots shine. Whether it’s a question, a request for an order status update, or an ask for help, a chatbot can address it instantly. Timely communication lowers frustration and contributes to a better customer experience.

### 4\. Cost savings

A sufficient customer support team can be a budget buster for small businesses. The most cost-savvy way to provide excellent customer service is to use a chatbot. Let the bot handle straightforward and repetitive inquiries and redirect customers to human agents for a more personalized touch when necessary.

### 5\. Data insights

Your chatbot can collect customer data for you to better understand your audience and their needs. Also, actual chats with your bot are a goldmine of insights. Use them to create more relevant marketing campaigns and make smarter, data-driven decisions.

## Types of chatbots for small business

Depending on your business needs, you may opt for a rule-based and an AI-powered chatbot.

### Rule-based chatbots

A rule-based chatbot is a computer program that operates according to a specific set of instructions. It responds based on keywords or triggers. Simply put, such a bot matches customer inquiries with predefined answers from its database.

If you need to handle routine tasks and answer simple questions, rule-based chatbots are your go-to.

### AI-powered chatbots

These are more effective bots that use artificial intelligence (AI), machine learning (ML), and natural language processing (NLP). These technologies allow bots to interact with users in a more conversational and flexible way. Unlike rule-based chatbots that follow clear instructions, AI-powered chatbots understand context, learn from interactions, and adapt their responses over time. They can handle more complex queries and even recommend products based on customer preferences and behavior.

If you're looking to provide a more personalized and engaging customer experience, opt for an AI-powered chatbot.

## Practical use cases for small business chatbots

Whether a customer is curious about your product's features, pricing, or how your shipping policies work, chatbots are there to provide the answers in no time. Thus, your human agents don't delve into minor issues and can focus on more complex tasks.

Though customer support and answering FAQs are primary use cases, your bot can do more.

### 1\. Book appointments

If you run a service-based business, your chatbot can handle appointments. It will find and show available slots to your customers, book appointments, and send confirmations, all automatically.

### 2\. Communicate on your social media and messengers

Social media are an important marketing and communication channel for small businesses. However, they may take too much of your time. Luckily, your bot can handle your social media for you. Use it to [automate communication in Facebook Messenger](https://chatfuel.com/facebook/), WhatsApp, or Instagram Direct. A bot can also automatically reply to comments, react to tags in stories and posts, and direct incoming inquiries to human agents if needed.

Setting up your chatbot is quite simple. For instance, here's a video explaining how to configure your bot to manage all incoming inquiries on WhatsApp.

### 3\. Qualify leads

Accurate lead qualification is equally important and time-consuming. With a chatbot qualifying your leads you focus on the most promising potential customers carefully selected based on the pre-set criteria.

### 4\. Provide personalized product recommendations

E-commerce businesses can leverage a bot's capability to offer personalized recommendations to customers based on their preferences and behavior.

### 5\. Recover abandoned carts

Another handy skill of e-commerce chatbots. To lower your cart abandonment rate, make your bot send automated reminders to encourage customers to complete their purchases. Some [e-commerce chatbots](https://chatfuel.com/blog/best-ecommerce-chatbots-that-can-boost-your-business/) also integrate with third-party payment providers like Stripe allowing customers to pay directly in the chat.

### 6\. Collect feedback

A chatbot can also contribute to your understanding of what your customers think and want. They can engage customers in conversational surveys, polls, or feedback forms, helping you identify areas for improvement and make informed decisions, thereby improving the overall customer experience.

## How to choose the right chatbot for your small business

Choosing the right chatbot for your small business can seem overwhelming. Here's a brief overview of what to consider.

### Features

Think about what you need your chatbot to do. Schedule appointments, capture leads, answer FAQs, collect customer feedback? Maybe, all together? Whatever it is that you need, make sure your chatbot can deliver. Prioritize features that will boost customer engagement and make running your business easier.

### Ease of use

### Integrations

Make sure your chatbot integrates with the other software you already use. It can be customer relationship management (CRM) systems, email marketing platforms, e-commerce platforms, and others. Seamless integration means a more efficient workflow and omni-channel automation.

### Pricing

Picking the bot provider that fits your budget and business goals, watch out for hidden fees like usage limits and additional charges for advanced features.

Keeping these four factors in mind, you can find the perfect AI chatbot for small business.

## Best practices for implementing chatbots in your small business

### Set clear expectations

Let your users know they're chatting with a bot from the get-go. This not only prevents awkward moments but also helps manage expectations about what your chatbot can and can't do.

### Give your chatbot some personality

Your chatbot is an extension of your brand, so make sure it sounds like it. Whether your brand voice is friendly, professional, or casual, your chatbot's language and responses should mirror that. This helps to keep the user experience consistent and on-brand.

### Offer human handover

Chatbots are super handy, but there will be times when a human touch is needed. Make sure your customers can switch from bot to human agent if their query needs that extra bit of attention.

### Monitor and optimize

Monitor the bot's performance and keep track of metrics like response times, user satisfaction, and conversion rates. Use this data to fine-tune your chatbot's responses and improve its accuracy over time. Just like us, chatbots can learn and improve. Continuous optimization keeps your chatbot effective and aligned with business goals.

Instagram's algorithm has shifted its focus from Reels to a more balanced mix of content types like stories and posts, aiming to diversify user feeds. Despite of this, Reels remain a powerful tool for businesses looking to increase audience engagement and grow Instagram visibility.

Read on to learn how to use Instagram Reels for marketing.

## What are Instagram Reels?

Reels are video clips that have their own dedicated section and feed on Instagram. Just like other content types, reels are displayed in the feed based on individual user interests and interaction history. You can enhance reels with music, text, and visual effects. Reels can be liked, shared, commented on, and created by users. They can be edited within Instagram or using external applications.

## How does the Instagram Reels algorithm work?

The reels users see on Instagram are dictated by its ever-changing algorithm. While this algorithm may seem complex, there are established factors that influence what appears in the feed:

- **The relationship between the content creator and the viewer.** The algorithm considers who you interact with and how often, therefore, you're more likely to see reels from accounts you're subscribed to. Interactions such as likes, comments, direct messages, or sharing content with another user increase the chances of seeing each other's reels in your feeds.

- **Relevance.** Instagram aims to display content it believes you will enjoy. For instance, if you frequently watch sports reels, your feed will feature more similar content.

- **Timeliness.** In the Instagram algorithm, priority is given to newer content.

- **Popularity.** The more subscribers you have, the higher the chances Instagram will promote your content. This social media platform also measures user interaction with your content—maintaining high engagement extends your reels' reach.

## Are Instagram Reels good for marketing?

Instagram is a perfect platform for connecting with a massive audience. Just imagine, [37.74%](https://backlinko.com/instagram-users) of the 5.3 billion active internet users regularly stop by Instagram.

Reaching and engaging your target audience is central to your Instagram marketing strategy, and the Reels format is perfect for this. One significant benefit of Instagram Reels for business is that these short-form videos extend your reach beyond your followers and help to keep them engaged. According to Meta, over half of Instagram users interact with reels via likes, comments, or reposts at least once a week. Moreover, reel content makes up more than half of the content shared in messages.

So the answer is yes, the format of Reels offers effective instruments for businesses looking to expand their reach on Instagram.

## How to make reels

Instagram provides a user-friendly interface for creating reels up to 30 seconds directly within the app. If you want to post longer Instagram reels for marketing, you can use third-party applications.

### Step 1. Open the Reels editor

You can open the Instagram Reels editor in three different ways:

- from the Instagram news feed by pressing the "plus" button at the bottom and selecting “Reels” from the list

- from the Reel section — by clicking on the camera icon in the upper right corner

- from your profile by pressing the "plus" button in the upper right corner

### Step 2. Record the video or select clips from the camera roll

Technically, you can use the screen recording button to capture video within the Instagram app. However, it isn’t the most convenient way to create content for Instagram marketing reels. Instead, upload pre-recorded video clips. To access clips in the camera roll folders, tap the square icon in the lower-left corner of the screen.

### Step 3. Add audio

There are three ways to add music to your Instagram reel:

- Select an audio recording at the same time as choosing clips by clicking on the music note icon on the left side of the screen.

- Click "Next" to open the audio menu and access Instagram's music library by touching the music note icon at the top of the screen.

- Add audio directly from the Reels editor.

That’s it, you opened the audio menu—now you can search for the song you want or select one from the trending songs. No matter how you reach it, the Instagram Reels audio selection menu looks the same.

### Step 4. Add the text on your reel

You can add text during the reel preview by clicking on the text icon at the top of the screen. Additionally, in the Reels editor, you can add text by clicking on "Text" at the bottom of the screen. After entering your text, you can experiment with its size, font, color, and outline style. And don’t forget to proofread for spelling errors because once the reel is published, you won't be able to change the text.

### Step 5. Edit and polish the reel

Reel editing tools allow you to trim videos, reorder frames, add transitions, split clips, adjust playback speed, include stickers, and more. Once you’re completely satisfied with your reel, click the small blue arrow on the right side of the screen.

### Step 6. Add a cover

Don't underestimate this step: a wisely chosen cover image ensures that your clip matches the aesthetic of your Instagram feed. To add a cover, select the "Change Cover" button. You may either choose a frame from your video or use a photo from your camera roll as the cover.

## 6 proven tips for using Instagram reels for business

Here are some tips to help you maximize the benefits of using Reels for business and marketing.

### 1\. Show your brand identity in reels

People appreciate the stories behind businesses as they foster a deeper connection, and reels are an effective method for conveying your business's story, values, and beliefs to customers. By creating reels reflecting those stories, you can garner more attention, engagement, and loyalty from your audience.

### 2\. Engage with your audience

An engaged audience contributes to your Instagram account visibility. But engagement is a two-way street: don't let likes and comments on your Instagram reels for business go unnoticed. Reward your subscribers for their attention by actively interacting with them.

As the number of your followers grows, engaging with them can be time-consuming—if done manually. The most effective way to maintain continuous interaction with your audience is by employing Fuely AI, an AI agent from Chatfuel.

### 3\. Boost your reels visibility

Here are a few easy ways to boost your reels:

- Share reels in Stories. Subscribers who missed your reel in their feed will come across it while watching stories.

- Share your reels on other social platforms, such as Facebook and YouTube.

- Use paid promotion tools like Instagram Ads.

### 4\. Add captions

Captions help get people to watch your reel. They tell viewers what it’s about and make them want to watch it. Keep captions short and true but compelling—your goal is to get viewers excited to watch your video.

### 5\. Use hashtags

Using relevant and popular hashtags can increase the reach of your reel and attract more viewers. You can use up to 30 hashtags per one reel.

### 6\. Consider reel length

Technically it’s possible to post longer business Instagram reels, however, the ideal length is between 15 and 30 seconds. A longer reel is less likely to be watched till the end due to users' short attention span, and the Instagram algorithm considers the completion rate when deciding which content to promote.

### What should be posted on business Instagram reels?

The reels format provides plenty of space for your creativity. Here are just a few Instagram reels marketing ideas:

- give a sneak peek of what happens behind the scenes in your company

- record a trending video with content tailored to your business

- show what your product can do

- share some quick and handy tips

- answer frequently asked questions

- show before-and-after transformation

Regularly posting reels, you’ll quickly identify what resonates with your followers most.

### How long can Instagram reels for marketing be?

Reels recorded using the Instagram camera are limited to 30 seconds. If you want to post longer clips, you can create reels from pre-recorded videos.

### When is the best time to post reels on Instagram?

Instagram app provides analytical tools, which you can use to view parameters like reach, views, and interaction. Identify when your posts receive the most interaction, as this indicates when your subscribers are most active. Typically, these are early morning, lunchtime, and early evening, when your audience is coming online to check their Instagram feeds. Try posting in these time slots and measure the results. But still, there’s no single recommendation—you’ll have to try various slots to identify what works best for you and your audience.

### How often should I post reels?

When it comes to Instagram reels marketing strategy, the general advice is to post up to 7 reels per week. While Instagram allows for more frequent posting, doing so could cause your content to compete with itself, negatively affecting your visibility.

### Truly autonomous AI agent

Ordinary AI agents aren't flexible as they strictly follow set patterns. When the conversation deviates from the established script, they can’t adapt due to a lack of conditional features.

Fuely AI features a Connectors tab where you can set rules or conditions for the agent’s actions. For example, you could establish a rule like "user is angry" and direct Fuely AI to connect these users to a live chat. Now, if the agent identifies that the user is about to blow up, it will automatically redirect them to talk with a real person.

Connectors allow Fuely AI to cover a wider range of scenarios, enhancing its efficiency and providing an optimal experience for your customers and prospects. Learn more about setting up Connectors [here](https://docs.chatfuel.com/en/articles/9173087-how-to-configure-your-ai-agent).

## What can Fuely AI do for you?

As mentioned, Fuely AI has various skills. You can use one or mix and match a few in different combinations—you name it. Let’s have a look at what exactly Fuely AI can do for you.

### Appointments booking

One of Fuely AI's skills is facilitating easy and convenient appointment booking through messaging platforms. It provides personalized options and effective scheduling for your consultations.

### Customer support

The "meet-customers-where-they-are" approach has businesses juggling multiple channels, including Facebook. But as your business grows, it gets harder to keep up with all these channels. The good news is that AI agents can automate a big chunk of your Facebook business routine. Read on to learn what these AI agents are, explore the tasks they can do for you, and find some handy tips on how to use them effectively to run your business on Facebook.

## What is an AI agent?

AI agents are autonomous AI systems that can automate a full range of functions within specific roles such as sales representative, support agent, and others. They can be used across various channels—WhatsApp, Instagram, business websites, and Facebook. They generate and qualify leads, provide customer support, and do other tasks you assign to them. Requiring minimal to no human intervention, these agents can either serve as an extension of your existing team or become your full-fledged AI department.

Think of AI agents as your junior employees. With the proper training, they can become your top team members learning as they go, getting better and faster. To help them learn, provide them with information about your business and clients.

You can use a dedicated agent for specific tasks or hire one with various skills to handle multiple directions—like Fuely the AI agent.

## Why employ AI agents for Facebook?

- **Effortless AI automation**

Facebook is a highly effective channel for businesses. But to use it to its full potential, you’ll have to invest plenty of time in it. By using AI agents, you can swiftly integrate AI into your Facebook operations and effortlessly scale your business.

- **Instant productivity boost**

Hiring and onboarding new employees requires a considerable amount of time and resources. This often creates a significant gap between the moment when the need to reinforce the team is recognized and the actual moment when the new employee is fully integrated and ready to contribute. By employing an AI agent, you get a team member ready to work for your business immediately.

- **Cost efficiency**

AI agents offer a steady, reliable service without the usual limits of human work. They don't need a monthly wage, health insurance, or benefits like paid holidays. Plus, AI agents can work non-stop, all week, without needing breaks, holidays, or time off, which humans need to stay productive and healthy.

## Facebook AI agents use cases

Let's examine three common use cases to better understand how to use AI agents on Facebook, which challenges can be addressed, and what outcomes can be achieved with them.

### AI agent use case #1: answering FAQs

Effective customer support directly affects customer experience and, consequently, sales. Therefore, promptly addressing customer inquiries should be a business's top priority. Given human agents’ limitations, businesses often face a dilemma: either increase customer service costs by hiring more staff or miss opportunities due to employees’ limited working hours. However, there’s one more option: employ AI agents.

An AI agent can automatically respond to frequently asked questions whenever customers need it. Providing timely and comprehensive answers to customers’ questions, autonomous AI agents enhance customer experience and encourage repeat visits, ultimately leading to increased revenue.

For instance, Fuely AI, powered by ChatGPT, can answer not only single questions but also understand the context and resolve more complex issues. It can also route the customer to a human agent when it’s required.

## AI agent use case #2: automating lead qualification from ads on Facebook

If you’ve already used Chatfuel, you probably know that you can set up Click-to-Messenger ads when you add a button to your Facebook ads that opens a conversation in WhatsApp. But what if there are too many users tapping that button?

Delayed processing of incoming inquiries leads to lost opportunities, and though not all of these leads will convert into customers, you still have to process them. And here’s where AI agents come in.

You can set your AI agent up to handle lead qualification. No more team overload due to a high volume of inquiries or long wait times for customer responses. With an AI agent qualifying your leads, you ensure fast and efficient handling of every inquiry, capturing every business opportunity and increasing conversion rates.

## AI agent use case #3: automating responses to comments on Facebook

Facebook comments are a great space to communicate with your customers. Timely and relevant responses boost engagement and make your followers feel seen, growing your audience, their loyalty, and eventually sales. And addressing negative comments can help to improve your brand’s image and might even win back unhappy customers.

A rare brand can boast effective Facebook community management, as it requires significant time investment. Or rather required—this is no longer the case when AI agents are introduced.

You can set your AI agent up to automatically reply to comments on your Facebook posts—either certain comments or all of them, on one or many posts. Plus, due to integrated ChatGPT, they can keep the conversation beyond the first comment.

By automating comment replies with AI agents, you free up time for important matters without leaving your customers unanswered, therefore enhancing their experience and boosting your brand's image. The best part is that AI agents are multilingual and can cater to customers worldwide which is particularly useful when your followers are from different regions and time zones.

## Why should you automate Facebook comment responses?

Manually replying to every comment is unsustainable as your page grows. Automation ensures every commenter gets a timely, personalized response — even outside business hours. This keeps your engagement metrics high, improves algorithmic reach, and turns casual commenters into customers without adding to your team's workload.

## How do you set up automated Facebook comment responses?

The setup takes just two steps inside the Chatfuel platform.

### Step 1. Connect your Facebook Page to Chatfuel

Go to the [Home](https://dashboard.chatfuel.com/sign-up?utm_medium=trigger&utm_source=onboarding_article_11) tab and click **Connect** under the Facebook Page section. Then, choose the Facebook Page you want to connect from the list. Click the **Connect** button next to that Page and hit **Done** to close the pop-up window.
