The way you build communication with your existing and potential customers is one of the factors that greatly influence client sentiment and loyalty. To stay interested in your offers, people should feel that they are valued. This is crucial at all the stages of interaction with your business from the first contact to the post-purchase updates. However, the efforts even of the best teams may be not enough to meet customer expectations. Here is when AI automation and chatbots should enter the game. Given the popularity of WhatsApp for B2C communication, you can consider the launch of a WhatsApp business bot.

This may seem to be a rather challenging task. Nevertheless, when you have relevant tools at hand, special tech skills won’t be required. And that's exactly what you can learn about in this article.

## What is a WhatsApp Business chatbot?

A WhatsApp chatbot is an automated software that is designed to simulate human conversation via text. Such WhatsApp automation solutions can not only follow the set patterns but also keep the brand identity and tone in dialogue with users. They efficiently engage with clients and can allow businesses to significantly reduce the load on their customer support, marketing, and sales teams.

## Advantages of using a bot on a WhatsApp Business account

One of the main reasons for companies to start implementing WhatsApp Business bots is the convenience that they provide. But let’s take a closer look at their benefits.

- **24/7 availability.** With a chatbot, you can ensure the round-the-clock functioning of your business without hiring new team members. Your WhatsApp bot can help clients to make purchases, schedule calls, answer questions, and do many other things in real time even outside your business hours.

- **Immediate responses**. Customers won’t need to wait for human agents to process their inquiries. Replies will be sent practically instantly.

- **Elimination of repetitive tasks**. Monotonous repetitive tasks (such as answering FAQs) can be fully handled by a chatbot. Human agents will have more time to concentrate on more serious issues.

- **Scalability**. You won’t need to expand your team and bear higher labor costs. A chatbot can manage growing volumes of inquiries and help you drive sales without extra expenses.

- **Cost reduction.** Implementation of a chatbot and automation of your communication with customers will let you reduce operational expenses.

- **Customer engagement**. Well-thought-out conversation flows will help you ensure result-oriented communication with clients, higher engagement, and enhanced loyalty.

- **Strong business identity.** Chatbots on the WhatsApp Business app are highly customizable. You can create icons, quick replies, and greeting messages that will support your brand's uniqueness.

## WhatsApp Business chatbot: key features

- **Automated replies**. You can enrich your bot with ready answers to the most common queries from customers.

- **Conversation personalization.** To make conversations more human-like, it’s better to personalize them. For that, your bot can rely on customer data like personal details, needs, previous orders, etc.

- **Interactivity**. You can diversify the chatbot flow with interactive elements, such as quick replies or buttons.

- **CRM sync**. To ensure better data management, you can integrate a bot with your CRM system.

- **Reporting and analytics**. With a chatbot, you can track customer interaction and sentiment. Modern bots can also automatically generate reports.

## How to create a WhatsApp Business chatbot

If you are thinking about setting up a WhatsApp Business bot, you should get a clear plan on how to do it. To better understand the process of preparation, you can study a short step-by-step guide provided below.

### 1\. Search for the right platform

Today you don’t need to hire a development team to build your bot. Instead, this can be done with one of the available chatbot platforms. Modern solutions have visual bot flow builders that allow you to set up conversations in just a few clicks. They differ in the features and pricing policies provided. That’s why businesses should consider several tools to select WhatsApp bot builders for their needs.

One of the most popular platforms of this kind is Chatfuel. It relies on its own AI model dubbed Fuely AI. It helps to enrich ChatGPT WhatsApp Business bots with real-life expertise in sales and marketing.

Chatbots created with Chatfuel can cover the whole online sale cycle from lead generation and qualification to re-engagement and post-sale communication. The exact functionality will depend on your specific business needs and goals.

These chatbots can provide replies to FAQs as well as send personal recommendations, abandoned cart reminders, information about special deals, and other proactive messages to the contacts from your customer base. The platform offers seamless integrations with CRM systems, Shopify, Google Sheets, and other external services.

Moreover, Chatfuel chatbots can help you collect information about your customers, analyze their preferences, and conduct A/B tests.

## WhatsApp Business chatbot use cases

Today, it is possible to detect the most popular spheres where chatbots are applied. Nevertheless, with the enhancement of the technology behind such solutions, the range of their use cases can significantly expand.

### 1\. Customer support

With a chatbot, you can automate a lot of client care tasks. For example, bots can answer customer questions from the FAQ list, as well as send them greetings and special offers.

### 2\. Lead generation

Chatbots can ask qualifying questions to understand users’ needs and segment leads into different categories. Moreover, a WhatsApp bot can nurture leads with the help of customized interactions.

### 3\. e-Commerce

Bots can provide customers with detailed information about different products and services, as well as assist them with placing orders and getting delivery statuses. They can also send product recommendations, abandoned cart reminders, and promotional messages to your clients. Moreover, if you launch a chatbot with Chatfuel, your customers will be able to make payments directly via a bot. This will be possible thanks to the integration with Stripe.

### 4\. Appointment scheduling

You can rely on a WhatsApp Business chatbot to automate the process of making appointments. A lot of professional service providers such as beauty salons, healthcare providers, and others have already leveraged this opportunity.

### 5\. Feedback gathering

Chatbots can conduct automated customer surveys to collect their opinions.

## Chatbot conversations on WhatsApp Business app: best practices

### Clear and short messages

Your messages shouldn’t be confusing. Don’t try to provide as much information as possible just in one response. Everything should be absolutely coincide and relevant to the asked question.

### Human touch

Conversations should be personalized and human-like. To achieve this, you should design interactions that mimic patterns of natural human conversations. Use informal language, variations in phrasing, as well as slang or idioms if they are appropriate. Avoid overly formal language unless it fits your brand voice.

### Regular updates

It is important to enrich your chatbot with new data, tools, and features on a regular basis. This will ensure that your customers have only the most relevant information and that the delivered experiences can meet their expectations.

### Monitoring

To ensure excellent functioning of your chatbot you need to continuously analyze its performance and collect customer feedback. For example, you can implement a feedback button and ask people about their experience at the end of every conversation.

## Challenges and limitations of using a WhatsApp Business bot

You should stay aware of possible limitations and be ready to mitigate their consequences.

- **Complex queries**. Chatbots are good at working with standard inquiries. However, with more complicated issues, human intervention is required.

- **Controversial user attitude**. Today, there are still some groups of people who don’t fully trust automated interactions and prefer to communicate with human agents.

- **Initial investment.** In the long run, chatbots can ensure great cost reduction. Nevertheless, if you create a custom chatbot from scratch, you will need to allocate a budget for its development and deployment. Or if you choose a solution offered by a provider, you will need to make monthly payments based on the subscription model.

- **Security and data privacy**. It is vital to make sure that your chatbot is fully compliant with regulations and that sensitive data is well protected.

## WhatsApp Business chatbots: Trends to watch out for

- **Advancements in AI**. The progress made in the artificial intelligence industry and natural language processing has a strong impact on the development of modern chatbots. In the future, chatbots will start to better understand the tone and context of conversations, detect emotions, and provide adaptive responses. All this will ensure a more personalized customer experience and increase satisfaction from such conversations.

- **Voice functionality**. With voice recognition technologies, a chatbot for business will be able to ensure hands-free experiences. Moreover, such functionality will make your services accessible to a wider audience, including users with disabilities.

- **Integration with other emerging technologies**. This can open absolutely new opportunities for businesses that rely on WhatsApp chatbots. For example, integration with IoT will make it possible to interact with a bot not only from computers or smartphones but also from other smart devices. The implementation of blockchain is also a promising idea. This can increase the security and transparency of conversations.

1. To begin with, open your newly installed app.

4. Allow the app to access your phone book contacts.

5. Create a profile and set your business name.

For those who previously had such business accounts, there is an option to restore a backup. After the launch, the app will automatically detect the backup and give you the option to click on Restore.

There is also another variant. After installing an app go to the Settings menu, click on Chat, and opt for Chat backup. After that, you will get an option to restore everything on WhatsApp Business.

## What other tools can be connected to WhatsApp Business?

### WhatsApp Web

This will allow you to use WhatsApp on up to four linked devices simultaneously. And there is no need to have a primary phone connected.

### CRM system

CRM integration will let you accumulate all customer data and interactions into one platform. As a result, you’ll benefit from actionable insights into customer needs and behavior.

## WhatsApp Business best practices

### 1\. Follow general business communication rules

Interaction via messengers offers a lot of freedom. Your conversations with clients can be rather informal, but still, they should be professional. Don’t cross the red line with jokes and topics that can be inappropriate.

### 2\. Make interaction with clients highly personalized

To make your messages valuable with personalized offers, you can rely on advanced AI-powered tools like Chatfuel. AI will identify customers’ preferences and provide them with relevant recommendations.

### 3\. Ensure security and privacy

Every message sent via WhatsApp is protected by the Signal encryption protocol. But you also should think about those people who can get access to your business account. Thoroughly protect all your corporate devices from unauthorized logins—for example, with multi-factor authentication.

## Troubleshooting common issues with WhatsApp Business accounts

If you face any tech issues with your business version of the app, you can send all your questions to the dedicated email smb\_web@support.whatsapp.com

You can also try to solve some common issues fully on your own.

### 1\. You can’t get pre-approval for your business account

Usually, it happens when offered goods or services don’t comply with the WhatsApp commerce policy. In this case, consult the relevant rules and introduce the required changes.

### 2\. Your account is blocked by Meta

It happens for several reasons, such as reports from customers or a huge number of messages sent at once. To get the information about the exact reason in your case, you need to access your WhatsApp Business Manager account. There, you will also find the instructions from Meta to resolve this problem.

### 3\. Your WhatsApp Business account name is not approved

Unfortunately, if the chosen name is rejected by Meta, you can’t schedule WhatsApp campaigns. Your display name should correspond to the [official guidelines](https://www.facebook.com/business/help/757569725593362). After changing the name, you need to complete the verification process.

## WhatsApp and the evolution of business communication

The business communication space is greatly influenced by general trends in tech innovations. While some decades ago, phone calls were the preferable tool, today the leading positions are taken by messengers. And the main reason for that is the convenience for both businesses and consumers.

WhatsApp itself is also gradually changing with the introduction of new services and possibilities. For example, just recently, it has been announced that Meta is going to integrate AI-powered features into the WhatsApp Business app. For example, AI will help users create click-to-WhatsApp ads and generate answers to frequent customer messages.

## WhatsApp Business: success stories

It’s important to work out the right communication strategy and receive loyal and supportive customers who will become brand advocates for your products and services.

Key strategies for successful WhatsApp engagement. Learn how businesses use WhatsApp chatbots to build customer relationships and boost sales.

WhatsApp engagement: strategies for business success

WhatsApp has become an important means of business communication and a popular customer service tool. And statistics prove it. Over 60% of people prefer to interact with businesses via messaging apps instead of emails. As a result, a huge part of B2C interaction has moved to messengers.

Of course, it’s not a problem to type a message manually for your mom or friend when they send something funny to you or ask about your plans for Saturday. But when you need to reply to dozens, hundreds, or even thousands of users, that’s already a very different story. Probably, you have a list of more important things to do rather than sit and send replies all day long. Read on to learn how to automate WhatsApp messages.

## How to automate WhatsApp messages: 3 methods

There are several available approaches to automating messages on WhatsApp. All of them have their pros and cons, so you may want to analyze all of them before choosing the most appropriate one.

### 1\. WhatsApp Business app

A lot of companies today rely on the features of WhatsApp Business app for auto-replies. It’s easy to set up and use. And its basic features can be enough for businesses that do not need to handle huge volumes of inquiries.

Automation on the WhatsApp Business app is a good choice for some simple cases.  For example, you can automatically send Greeting messages when clients start a conversation with your company. Or you can set up Away messages. Users will receive them when they will contact you outside working hours.

Nevertheless, this approach has some limitations in more complex scenarios:

-   Absence of customization for specific inquiries;

-   Limited scheduling flexibility;

-   Miscommunication risks;

-   No interactive communication in real time;

-   Limited branding possibilities;

- Lack of advanced features and comprehensive analytics.

### 2\. WhatsApp Business API

For advanced automation, you can use WhatsApp Business API. This method can offer you all the functionality available on the WhatsApp Business in combination with CRM features.

In this case, you can make your automated interaction with customers much more personalized. Now you can customize and diversify your communication with them. In addition to simple greetings or away messages, you can automatically send:

-   Happy birthday messages;

-   Abandoned cart reminders;

-   Price-drop notifications;

-   Again-in-stock information;

-   Order confirmations;

-   Loyalty rewards;

-   Delivery status updates, etc.

This option provides you with more freedom when it comes to customization and possible scenarios. With it, you can design practically any WhatsApp automated messages you wish.

However, all settings of WhatsApp Business API traditionally turn out to be a more complicated task than just using an app. As a result, very often, it’s required to work with a vendor that provides relevant solutions for facilitating this process.

### 3\. Third-party tools

Today you have access to a wide choice of ready-made suites for WhatsApp automation.

Their use doesn’t require any specific knowledge or skills from your side. Given the competition in this aspect, providers need to continuously support and regularly update their solutions to keep market positions. Such solutions offer various features addressing the needs of absolutely different users. Let’s explore a couple of tools and their functionality.

## Setting up WhatsApp message automation

First of all, you need to choose a method that will address your needs better than others.

1. If you do not work with a lot of inquiries at the moment, automation via the WhatsApp Business app will be enough. There are restrictions in the scenarios when messages can be automated. However, the most basic needs can be covered with in-built WhatsApp features.

2. For more sophisticated tasks, you can use WhatsApp Business API. Here, you have practically unlimited space for imagination. You can implement various scenarios and design different messages for each of them. Moreover, your automated responses can be highly personalized. Nevertheless, the work with WhatsApp API can be a rather complicated task if you do not rely on third-party tools.

Then, you can proceed to create your first bot. No coding skills are required. If you don’t want to create your bot from scratch, an extensive [library of pre-made bot templates](https://chatfuel.com/templates) will come in handy—use them as is or customize to tailor to your needs.

To cover different scenarios, you need to create different flows inside one bot. For example, one of them will be for reminding about abandoned carts, another one for recommending special offers, etc.

## How to enhance WhatsApp message automation: best practices

### Transparency

Do not try to hide the fact that customers will communicate with a WhatsApp chatbot. Let them know about it at the very beginning of the interaction.

### Manager support

Make it possible for customer service managers to seamlessly join the communication with clients when it’s required.

### Personalization

Address customers by name or add other relevant details to make each WhatsApp automated message more personal.

### Quit option

Offer customers the possibility of unsubscribing from automated messages. They should be also allowed to subscribe back if they change their minds.

## 3 reasons to automate WhatsApp messages

### 1\. Better customer experience

By setting up auto-replies, you reduce response times by ensuring the possibility for people to get the required information even outside your business hours. As automated replies are available in a 24/7 regime, your existing and potential customers won’t need to wait till the beginning of your work day.

### 2\. Higher efficiency

As WhatsApp automated message delivery takes place without any participation of your customer support managers, their workload can be significantly reduced. Thanks to this, they will have more time to concentrate on more complicated tasks and demonstrate better efficiency in addressing pressing issues.

### 3\. Insights and data-driven decisions

With automation tools, you can successfully track the performance of your messages. This approach not only helps to optimize your strategy in communication with clients but also enhances customer service in general.

It may not seem obvious but WhatsApp automated messages can help you greatly scale your business. And the more tasks will be efficiently automated, the better the final results can be. With automation, you can increase the quality of your customer service and drive your sales, while optimizing your resources allocated for this.

Looking for ways to streamline and facilitate your communication with customers? Automating WhatsApp messages is one of the key steps to achieving these goals.

WhatsApp Auto-Reply: Best Practices for Business

Instagram's algorithm has shifted its focus from Reels to a more balanced mix of content types like stories and posts, aiming to diversify user feeds. Despite of this, Reels remain a powerful tool for businesses looking to increase audience engagement and grow Instagram visibility.

Read on to learn how to use Instagram Reels for marketing.

## What are Instagram Reels?

Reels are video clips that have their own dedicated section and feed on Instagram. Just like other content types, reels are displayed in the feed based on individual user interests and interaction history. You can enhance reels with music, text, and visual effects. Reels can be liked, shared, commented on, and created by users. They can be edited within Instagram or using external applications.

## How does the Instagram Reels algorithm work?

The reels users see on Instagram are dictated by its ever-changing algorithm. While this algorithm may seem complex, there are established factors that influence what appears in the feed:

- **The relationship between the content creator and the viewer.** The algorithm considers who you interact with and how often, therefore, you're more likely to see reels from accounts you're subscribed to. Interactions such as likes, comments, direct messages, or sharing content with another user increase the chances of seeing each other's reels in your feeds.

- **Relevance.** Instagram aims to display content it believes you will enjoy. For instance, if you frequently watch sports reels, your feed will feature more similar content.

- **Timeliness.** In the Instagram algorithm, priority is given to newer content.

- **Popularity.** The more subscribers you have, the higher the chances Instagram will promote your content. This social media platform also measures user interaction with your content—maintaining high engagement extends your reels' reach.

## Are Instagram Reels good for marketing?

Instagram is a perfect platform for connecting with a massive audience. Just imagine, [37.74%](https://backlinko.com/instagram-users) of the 5.3 billion active internet users regularly stop by Instagram.

Reaching and engaging your target audience is central to your Instagram marketing strategy, and the Reels format is perfect for this. One significant benefit of Instagram Reels for business is that these short-form videos extend your reach beyond your followers and help to keep them engaged. According to Meta, over half of Instagram users interact with reels via likes, comments, or reposts at least once a week. Moreover, reel content makes up more than half of the content shared in messages.

So the answer is yes, the format of Reels offers effective instruments for businesses looking to expand their reach on Instagram.

## How to make reels

Instagram provides a user-friendly interface for creating reels up to 30 seconds directly within the app. If you want to post longer Instagram reels for marketing, you can use third-party applications.

### Step 1. Open the Reels editor

You can open the Instagram Reels editor in three different ways:

- from the Instagram news feed by pressing the "plus" button at the bottom and selecting “Reels” from the list

- from the Reel section — by clicking on the camera icon in the upper right corner

- from your profile by pressing the "plus" button in the upper right corner

### Step 2. Record the video or select clips from the camera roll

Technically, you can use the screen recording button to capture video within the Instagram app. However, it isn’t the most convenient way to create content for Instagram marketing reels. Instead, upload pre-recorded video clips. To access clips in the camera roll folders, tap the square icon in the lower-left corner of the screen.

### Step 3. Add audio

There are three ways to add music to your Instagram reel:

- Select an audio recording at the same time as choosing clips by clicking on the music note icon on the left side of the screen.

- Click "Next" to open the audio menu and access Instagram's music library by touching the music note icon at the top of the screen.

- Add audio directly from the Reels editor.

That’s it, you opened the audio menu—now you can search for the song you want or select one from the trending songs. No matter how you reach it, the Instagram Reels audio selection menu looks the same.

### Step 4. Add the text on your reel

You can add text during the reel preview by clicking on the text icon at the top of the screen. Additionally, in the Reels editor, you can add text by clicking on "Text" at the bottom of the screen. After entering your text, you can experiment with its size, font, color, and outline style. And don’t forget to proofread for spelling errors because once the reel is published, you won't be able to change the text.

### Step 5. Edit and polish the reel

Reel editing tools allow you to trim videos, reorder frames, add transitions, split clips, adjust playback speed, include stickers, and more. Once you’re completely satisfied with your reel, click the small blue arrow on the right side of the screen.

### Step 6. Add a cover

Don't underestimate this step: a wisely chosen cover image ensures that your clip matches the aesthetic of your Instagram feed. To add a cover, select the "Change Cover" button. You may either choose a frame from your video or use a photo from your camera roll as the cover.

An engaged audience contributes to your Instagram account visibility. But engagement is a two-way street: don't let likes and comments on your Instagram reels for business go unnoticed. Reward your subscribers for their attention by actively interacting with them.

As the number of your followers grows, engaging with them can be time-consuming—if done manually. The most effective way to maintain continuous interaction with your audience is by employing Fuely AI, an AI agent from Chatfuel.

### 3\. Boost your reels visibility

Here are a few easy ways to boost your reels:

- Share reels in Stories. Subscribers who missed your reel in their feed will come across it while watching stories.

- Share your reels on other social platforms, such as Facebook and YouTube.

- Use paid promotion tools like Instagram Ads.

### 4\. Add captions

Captions help get people to watch your reel. They tell viewers what it’s about and make them want to watch it. Keep captions short and true but compelling—your goal is to get viewers excited to watch your video.

### 5\. Use hashtags

Using relevant and popular hashtags can increase the reach of your reel and attract more viewers. You can use up to 30 hashtags per one reel.

### 6\. Consider reel length

Technically it’s possible to post longer business Instagram reels, however, the ideal length is between 15 and 30 seconds. A longer reel is less likely to be watched till the end due to users' short attention span, and the Instagram algorithm considers the completion rate when deciding which content to promote.

## FAQs on Instagram Reels

### How to find trending songs and sounds?

Like any Instagram user, you'll frequently encounter viral reels. Take note of the sounds and music used in these videos—some of them you might want to use in yours. If you find a sound you like, you can save it for future use by simply tapping the “Save” button.

Typically, these are early morning, lunchtime, and early evening, when your audience is coming online to check their Instagram feeds. Try posting in these time slots and measure the results.
