How to Connect Google Calendar

You can connect your specialists' Google Calendars to Chatfuel so that availability stays accurate and double bookings are avoided. Chatfuel imports events from Google Calendar and uses them when checking open time slots — if a specialist has a personal appointment or another client in Google Calendar, that slot won't be offered for new bookings.
This is a one-way sync: Google Calendar events appear in Calendar, but bookings created in Chatfuel do not appear in Google Calendar.
Note: Connecting Google Calendar is one of the few steps the AI Co-Worker can't complete for you — Google Calendar sync requires each specialist to authorize with Google themselves. The Co-Worker can take you straight to the right page: just ask.
Before you start
You need at least one specialist configured in Calendar settings. The connection is made per specialist — each specialist connects their own Google Calendar individually.
Step 1: Generate a connection link
- Open Settings in the left sidebar.
- Go to the Google Calendar tab.
- Find the specialist you want to connect.
- Click Generate link.
- A panel opens with the link. Click Copy link to copy it to your clipboard, or use Share to send it directly.
Send this link to the specialist. They will open it in a browser, sign in to their Google account, and grant Chatfuel permission to read their calendar. The sync supports two-factor authentication — no need to disable it.
Users with the Agent role cannot generate, copy, or revoke links. Only admins and owners can manage Google Calendar connections.
Step 2: Wait for the specialist to connect
After you generate a link, the specialist's row shows Waiting for connection until they complete the authorization. During this time you can:
- Copy link — copy the link again to resend it.
- Revoke link — cancel the link so it can no longer be used. You can generate a new one afterward.
Step 3: Sync completes
Once the specialist grants access, Chatfuel imports their Google Calendar events:
- Sync in progress... — events are being imported.
- Synced X min ago — sync is complete. The timestamp updates to show how long ago the last sync happened (minutes, hours, or days).
From this point on, Chatfuel periodically checks the specialist's Google Calendar for new or changed events and updates availability accordingly.
If sync fails
If something goes wrong — the specialist revoked access, a Google token expired, or there was a temporary Google error — the status changes to Sync failed.
To fix it:
- Disconnect the calendar (see below).
- Generate a new link and have the specialist reconnect.
Disconnecting Google Calendar
- Go to Settings > Google Calendar.
- Find the specialist and click Action > Disconnect.
- Confirm in the popup.
Events that were already imported into Chatfuel Calendar are kept — they are not deleted when you disconnect. Only future syncs stop.
Banner reminder
If any specialist does not have Google Calendar connected, a banner appears when you open Calendar:
- Open settings — takes you to Settings > Google Calendar.
- Remind me later — hides the banner until your next visit.
- Close (X) — hides the banner permanently.

No — only the primary Google Calendar is supported.

No. Only users with admin or owner roles can generate links, copy links, or disconnect calendars.
